Job Description

Scheduler/Admin

Reports to General Manager (daily) & Director regularly


newspaper ad; Front office/scheduling for busy Christian counseling agency. 15-28 hrs/week. The number of hours depends on whether this is a shared job.

Location: This position is at our La Mesa office. Please do not call the office. Each resume submitted will be reviewed. Please submit your resume by fax to 619-393-3133. Include a daytime and evening telephone number where you can be reached.

Position: Requires attention to detail, confidentiality, teamwork, flexibility, English, a willingness to work in a Christian environment & 5 yrs office experience.

Partial List of Duties

  • Open & prepare the office for clients
  • Schedule & confirm clients
  • Produce Director's Daily Operating Schedule in Excel (weekly) w/daily updates
  • Take intake information on potential new clients and set appointments
  • Coordinate appointments between counselors and clients
  • Maintain Outlook database of client contacts
  • Track insurance requirements from first appointment on intake sheet until scheduler, client & counselor have provided all information necessary to HBC's billing person
  • Track work on already established files: Director's client list; Intake Summary
  • Email Client Schedule & Intake Summary to director and general manager
  • Print Director's and General Manager's flight boarding passes from internet
  • Maintain Director's client history files with confidentiality
  • Interact with counselors, clients, general manager and director as required to fulfill tasks
  • Uses email and internet research as part of the job
  • May assist with client billing
  • Other duties as assigned
